Position Overview: The Telecaller cum Receptionist is responsible for handling both telecommunication duties and front desk reception tasks. This role plays a crucial role in ensuring effective communication with clients, customers, and visitors while maintaining a professional and welcoming atmosphere at the front desk.
Key Responsibilities:
Telecalling:
- Make outbound calls to potential clients or customers to introduce the company's products or services, promote offers, or conduct market research.
- Handle inbound calls from customers, addressing their queries, providing product information, and offering assistance.
- Maintain a polite and friendly tone during calls, ensuring excellent customer service and positive customer experience.
- Keep accurate records of calls and customer interactions in the database.
Reception Duties:
- Greet visitors, clients, and employees as they arrive at the office, creating a warm and professional first impression.
- Answer incoming phone calls, transferring them to the appropriate department or person, or taking messages when necessary.
- Handle inquiries from callers and visitors promptly, providing relevant information or redirecting them to the right contact.
- Receive and sort mail and packages, distributing them to the relevant recipients or departments.
- Maintain a neat and organized front desk area and ensure that the reception area is tidy and presentable at all times.
Appointment Scheduling:
- Assist in scheduling appointments and meetings for company personnel, utilizing appropriate software or tools.
- Remind employees and clients of scheduled appointments to ensure timeliness and efficiency.
Administrative Support:
- Provide basic administrative support such as filing, photocopying, and managing office supplies.
- Assist with other clerical tasks as required, contributing to the smooth functioning of the office.
Customer Relations:
- Ensure a positive and friendly experience for clients and visitors by promptly addressing their needs and concerns.
- Build and maintain strong relationships with clients through effective communication and exceptional service.
Qualifications and Skills:
- High school diploma or equivalent; additional certification in customer service or office management is a plus.
- Proven experience as a telecaller or receptionist, with excellent telephone etiquette and communication skills.
- Proficient in using telephone systems and handling multiple phone lines efficiently.
- Familiarity with basic office software such as Microsoft Office (Word, Excel, Outlook).
- Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
- Professional appearance and attitude with excellent customer service and interpersonal skills.
- Ability to work independently and as part of a team, demonstrating reliability and a strong work ethic.
- Fluency in multiple languages may be an advantage, depending on the demographics of the customer base.
